The role
Oversee and manage all travel and expense administration activities for North America, ensuring compliance with corporate policies and regulatory requirements
As an (INSERT JOB TITLE HERE )at IPL you will:
Oversee and manage all travel and expense administration activities for North America, ensuring compliance with corporate policies and regulatory requirements.
- Administer SAP Concur and Corporate Credit Card systems including setup, maintenance, troubleshooting, and user support to facilitate smooth and timely expense and travel processes.
- Support the implementation and communication of travel and expense policies and best practices to employees and management including new system functionality.
- Act as the primary internal resource for employees and resolve queries and issues related to travel and expense claims, ensuring a high level of customer service.
- Serve as the Corporate Credit Card Administrator, overseeing account setup for new associates, card distribution, and resolution of corporate credit card inquiries.
- Monitor credit card transactions for compliance with company policies and expense guidelines via SAP Concur.
- Facilitate Concur and Corporate Credit Card expense reporting training sessions for associates, covering policies, procedures, and system functionality.
- Create reference and training materials and Standard Operating Procedures.
- Process expense report submissions, approvals, and reimbursements accurately and timely.
- Monitor travel and expense data for accuracy, trends, and control risks; prepare regular reports and analysis for management review and identify cost-savings opportunities.
- Collaborate with finance and payroll teams to ensure accurate financial transactions and tax reporting related to travel and expenses.
- Support audits and compliance checks related to travel and expense activities.
- Continuously identify and implement process improvements and automation opportunities within travel and expense workflows.
What you will bring to the role:
- Bachelor’s degree in relevant field or equivalent experience
- Proven experience managing corporate travel and expense administration, ideally within SAP Concur or similar travel and expense management systems.
- Strong understanding of expense reporting, and reimbursement processes across US and Canadian business environments.
- Familiarity with corporate travel policy compliance, regulatory requirements, and audit processes.
- Excellent organizational skills with high attention to detail and accuracy.
- Strong communication and interpersonal skills to liaise effectively with employees at all levels and external partners.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
- Proficient with MS Office suite (Excel, Outlook, Word) and comfortable working with enterprise financial systems.
- Demonstrated problem-solving skills and customer service orientation.
- Capacity to handle confidential and sensitive information with discretion.
- Experience or knowledge of travel and expense policy implementation and training beneficial.
